Privacy policy
Comms is a workspace for organizations: messaging, files, task boards, meetings and an assistant, shared among the members an administrator adds. This policy explains what Comms keeps about you, why, who processes it, and what you can do about it.
Who is responsible
Comms runs either on Comms Cloud, operated by Charis Development, or on an installation an organization hosts for itself. The party that runs your installation is the operator and the controller of your data. Your workspace administrators decide who joins, what is shared, and which optional services are connected.
What Comms keeps
| Category | What | Why |
|---|---|---|
| Your account | Email address, display name and initials, and the avatar your organization's sign-in provides. | To sign you in and show who said what. |
| Workspace content | Messages, reactions, files and images you attach, tasks and comments, meeting notes, and transcripts of video meetings when a meeting is recorded or transcribed. | This is the product: content you and your workspace create and share. |
| Your settings | Notification preferences, keywords, bookmarks, read positions, and the preferences you give the assistant. | So the app behaves the way you set it. |
| Devices | Push notification tokens, platform and app version, and error reports the app sends when something fails. | To deliver notifications to your devices and to fix faults. |
| Connected services | If you or an administrator connect Microsoft 365, Gmail or Notion, the access tokens for those services and the items the workspace reads from them. | Only for the features you connect them for. You can disconnect them in the app. |
| The assistant | The questions you ask it and the answers it gives, plus the workspace content it reads to answer. | To answer you. Requests are processed by the AI provider your workspace administrator has configured. |
What Comms does not do
- No advertising, no advertising identifiers, and no tracking across other apps or websites.
- No selling or renting of your data.
- No reading of your device contacts, location, or photo library beyond the images you choose to attach.
Who processes data on the operator's behalf
Comms relies on these services to work. Each receives only what its role needs.
- Supabase — database, sign-in and file storage.
- Microsoft Azure — hosting for the web app, the assistant gateway and file storage on Comms Cloud.
- Daily — audio and video for in-app meetings, and recordings when a meeting is recorded.
- Apple and Google push services — delivery of notifications to phones and desktops.
- GIPHY — when you search for a GIF, your search terms are sent to GIPHY.
- The AI provider your workspace has configured — the assistant's requests, including the workspace content needed to answer them.
- Microsoft 365, Gmail and Notion — only if you connect them.
A self-hosted installation may substitute its own providers for some of these; its operator can tell you which.
How long
Your account and settings are kept while your account exists. Workspace content is kept for as long as the workspace keeps it: administrators can archive channels and delete files, and the operator may set retention rules for their installation.
Deleting your account
You can delete your own account from inside the app: Settings → Account → Delete your account. Deletion is immediate and cannot be undone. It removes your sign-in, your workspace memberships, notification settings, device registrations, connected services and preferences.
Messages, files, tasks and meeting notes you shared with other members stay in the workspace, because they are also theirs, and are shown as coming from “Deleted account”. If you are the only administrator of a workspace that still has other members, make someone else an administrator first.
Your rights
Depending on where you live you may have the right to access, correct, export or erase your data, or to object to how it is used. Ask your workspace administrator or the operator of your installation. For Comms Cloud, write to Charis Development at the support address on the app's store listing.
Children
Comms is provided to organizations and their members. Accounts are added by workspace administrators, and the app is not directed to children.
